
Thank you for your interest in participating as a vendor at the International Peace Festival
at Nathan Phillips Square. Please review the following guidelines and terms carefully.
By submitting an application you agree to comply with these requirements.

GUIDELINES & TERMS

APPLICATION & REGISTRATION
Applications must be submitted together with the applicable vendor fee. Once the completed application and payment have been received, the vendor will receive confirmation of participation together with further event information.

SPACE ASSIGNMENT
Spaces are assigned by the Festival team based on the type of products, electrical requirements, and operational needs. Location requests will be considered but cannot be guaranteed.

CANCELLATION & REFUNDS
Cancellations must be submitted in writing. Vendor fees are non-refundable once an application has been accepted and participation has been confirmed. If an application is not accepted by the Festival, the vendor fee will be refunded.

FIRE, SAFETY & ELECTRICAL REQUIREMENTS
All vendors must comply with City of Toronto fire and safety regulations. Electrical equipment must be CSA-approved. Only approved extension cords and power sources are permitted. Tents and coverings must be properly secured and fire-retardant where required.

PRODUCTS, DISPLAYS & EXCLUSIVITY
All products must be appropriate for the Festival and approved by the Festival team. Vendors may not sublet or share their space. The Festival reserves the right to limit the number of similar vendors.

CITY OF TORONTO & NATHAN PHILLIPS SQUARE REQUIREMENTS
All vendors must comply with City of Toronto by-laws, regulations and Nathan Phillips Square policies, including noise, waste, accessibility, and public safety.

PHOTOGRAPHY & PROMOTION
By participating, vendors consent to the use of photographs and video of their booth, products and activities for Festival promotional purposes.

VENDOR SPACES & EQUIPMENT
Vendor options include: Table Space ($150), 10’ x 10’ Bring Your Own Tent Space ($200), or 10’ x 10’ Space with Festival-Provided Tent ($250). Vendors must supply all items needed to operate their space unless otherwise specified by the Festival.

FEES & PAYMENT
The applicable vendor fee must be submitted at the time of application. Applications will not be considered complete until payment has been received. Vendor fees are subject to the cancellation and refund terms set out below.

FOOD & BEVERAGE REQUIREMENTS
Food vendors must comply with all City of Toronto public health regulations, permitting requirements, and safety standards. Additional requirements for propane, electrical, waste management, and product handling will be provided upon acceptance.

SET-UP, OPERATING HOURS & TEAR-DOWN
Vendors must arrive on time for assigned set-up. Operating hours will be provided prior to the event and must be followed. Vendors must remain open for the entire event. Tear-down must be completed by the stated time. Vehicles are not permitted on-site during operating hours.

INSURANCE, LIABILITY & DAMAGES
Vendors are responsible for their own insurance. The International Peace Festival, Nathan Phillips Square and the City of Toronto are not responsible for loss, theft, damage or injury. Vendors agree to indemnify and hold harmless the Festival, Nathan Phillips Square and the City of Toronto from any claims arising from their participation. Vendors are financially responsible for any damage caused to the Square, equipment or property.

ACCESSIBILITY, RESPECT & INCLUSIVE PARTICIPATION
The Festival is committed to creating an inclusive, welcoming and safe environment for all. Discrimination, harassment or hate speech will not be tolerated. We encourage all vendors and their staff to practice respect, equity and kindness.

AGREEMENT TO TERMS
By submitting an application and payment, vendors confirm that they have read, understood and agree to these Vendor Guidelines & Terms of Participation.
